Introduction
This document outlines the user stories for the Payroll project aimed at reducing manual work by integrating our HR system HiBob with the payroll software Pento.
Purpose
Our UK payroll is currently operated in a very manual way with information having to be pulled from different areas, manually input into a spreadsheet which is then sent to our payroll provider for review. The majority of the data is pulled from our HR system HiBob specifically around: starters, leavers, salary changes, unpaid leave, maternity/paternity etc. HiBob has recently bought a payroll software company called Pento who are a UK payroll provider and integrated into the platform to allow HiBob to feed the employee information directly into the payroll platform with only additional payments having to be added (Gym, mobile phone duty etc.)
Scope
This document pertains to the integration of the HiBob HR system with the Pento payroll software to automate payroll processes and reduce manual tasks.
User Stories
User Story 1: Automated Data Integration
- As a: Payroll Administrator
- I want to: Automatically integrate employee data from HiBob into the Pento payroll platform
- So that: I can reduce manual data entry and minimize errors
Description
Automate the transfer of employee data such as starters, leavers, salary changes, unpaid leave, maternity/paternity leave from HiBob to Pento to streamline payroll processing.
Acceptance Criteria
- Employee data is automatically transferred from HiBob to Pento
- The system successfully identifies and updates changes in employee data
- Manual intervention is only required for additional payments

Description
Ensure that HiBob remains the primary source of employee data and any updates in HiBob are automatically reflected in Pento.
Acceptance Criteria
- HiBob is recognized as the single source of truth for employee data
- All changes in HiBob are reflected in Pento without manual intervention
- Data discrepancies are minimized

User Story 3: Additional Payments Management

Acceptance Criteria
- Additional payments can be added manually within Pento
- These payments are accurately reflected in the payroll calculations
