Introduction
This document provides a list of user stories for the Payroll project aimed at reducing manual work by integrating the HRIS system HiBob with the payroll system Pento.
Purpose
Our UK payroll is currently operated in a very manual way with information having to be pulled from different areas, manually input into a spreadsheet, which is then sent to our payroll provider for review. The majority of the data is pulled from our HR system HiBob, specifically around: starters, leavers, salary changes, unpaid leave, maternity/paternity, etc. HiBob has recently bought a payroll software company called Pento, a UK payroll provider, and integrated into the platform to allow HiBob to feed the employee information directly into the payroll platform with only additional payments having to be added (Gym, mobile phone duty, etc.).
Scope
This document pertains to the integration of the HRIS system HiBob with the payroll system Pento for the UK payroll operations to reduce manual work and ensure data accuracy.
User Stories
User Story 1: Automate Data Transfer
- As a: Payroll Administrator
- I want to: Automatically transfer employee data such as starters, leavers, salary changes, unpaid leave, maternity/paternity from HiBob to Pento
- So that: I can reduce manual data input and errors
Description
The system should automate the transfer of employee data from HiBob to Pento, ensuring that all relevant information is accurately and efficiently moved to the payroll platform.
Acceptance Criteria
- Data transfer should occur automatically without manual intervention.
- Employee data in Pento should match the data in HiBob.
- The system should provide error logs for any failed transfers.
Notes
This integration will help in reducing the time spent on manual data entry and minimize errors.
User Story 2: Single Point of Truth
- As a: HR Manager
- I want to: Ensure that HiBob is the single point of truth for all employee data
- So that: All payroll-related information is accurate and consistent across the organization
Description
HiBob should serve as the central repository for all employee data, ensuring that any updates or changes are reflected across all integrated systems, including Pento.
Acceptance Criteria
- HiBob should be the source of truth for all employee data.
- Any updates in HiBob should automatically reflect in Pento.
- System audits should confirm data consistency between HiBob and Pento.
Notes
Using HiBob as the single point of truth will streamline data management and reduce discrepancies.
User Story 3: Add Additional Payments
- As a: Payroll Administrator
- I want to: Manually add additional payments like Gym and mobile phone duty in Pento
- So that: These payments are accurately reflected in the payroll
Description
The system should allow payroll administrators to manually add additional payments that are not captured by HiBob but are necessary for the payroll process.
Acceptance Criteria
- The system should allow manual input of additional payments.
- Additional payments should be accurately reflected in the payroll reports.
- The system should provide confirmation of successful payment additions.
Notes
This feature will ensure that all employee benefits and compensations are accurately processed and recorded.
